ACCESS RIGHTS OVERVIEW
In Vizula, all of the pages and key functions of the system have access rights protection, meaning that all users can be specifically granted varying levels of access. The only user who will ALWAYS have total access to every feature of the system is the owner of the account. In the first instance, this is the person who created the Vizula account, but the owner can be changed.

Access Right levels fall into four main categories as follows:

1. - NONE- The user has no access to this function.
2. - VIEW - The user is allowed to view
3. - EDIT - The user can edit the function but cannot add or delete new new functions.
4. - CONTROL - The user has complete control, including adding and deleting.

NOTE: Users share the same database as the Employees. Therefore adding and deleting users will also add and delete the same user as an employee. If you have the HR Manager module enabled, then Vizula Users can be managed through the HR Manager.

Access Rights are described in more detail below.
CHANGING ACCOUNT OWNER
The Vizula account owner is the account administrator, giving TOTAL access to all features of Vizula. The account owner is set at the point of creating a Vizula account but it can be changed as follows:

1. Click the 'Change Account Owner' icon and the 'Change Owner' sub-menu will be displayed.



2. Enter the email address of the user you wish to become the new owner.
3. Click 'Change' and the owner will be modified and the new owner will show the owner icon next to their name.
ACCESS RIGHTS SUMMARY
The following table is a detail summary of the Access Right controls in Vizula.



ACCESS RIGHTS CONTROLS
Each user control governs the access for one or more pages as defined below:-

ORG Control
The ORG access rights control governs access to both the BUSINESS MANAGER page and the LOCATION MANAGER page. Four options are provided to control access as follows:-

1. - NONE- The user has no access to either the Business Manager or Location Manager pages.
2. - VIEW - The user is allowed to view both the Business Manager and Location Manager pages.
3. - EDIT - In addition to viewing both pages, the user can edit all data fields.
4. - CONTROL - In addition to viewing and editing both the Business Manager and Location Manager pages, the user can add new businesses and locations and delete existing businesses and locations. NOTE: Adding and Deleting Businesses & Locations is only available with Vizula Corporate subscription.

HR Control
The HR access rights control governs access to the HR MANAGER page. Four options are provided to control access as follows:-

1. - NONE- The user has no access to the HR Manager page.
2. - VIEW - The user is allowed to view the HR Manager page.
3. - EDIT - In addition to viewing the HR Manager page, the user can edit all data fields.
4. - CONTROL - In addition to viewing and editing the HR Manager page, the user can add and delete employees and Vizula users. NOTE: The HR Manager is only available with Vizula Corporate subscription.

NPI Control
The DASHBOARD access rights control governs access to the NPI DASHBOARD page. Two options are provided to control access as follows:-

1. NONE- The user has no access to the NPI Dashboard page.
2. VIEW - The user is allowed to view the NPI Dashbard page.

PRODUCT Control
The PRODUCT access rights control governs access to the PRODUCT DASHBOARD page. Three options are provided to control access as follows:-

1. - VIEW - The user is allowed to view the Product Dashboard page.
2. - EDIT - In addition to viewing the Product Dashboard page, the user can edit all data fields. However, for products where the user is named as 'Product Manager', the user also has additional rights:
  • Add/Delete Products - this automatically sets the user as Product Manager
  • Add/Edit all Specifications
  • Add/Edit all Building Blocks items
  • Add/Delete all Notes

3. - CONTROL - The user has complete control to view, edit, add and delete products, specifications, building blocks and notes for all users.

PROJECT Control
The PROJECT access rights control governs access to the PROJECT DASHBOARD page. Three options are provided to control access as follows:-

1. - VIEW - The user is allowed to view the Project Dashboard page. However, for any issues or risks where the user is named as 'owner', the user is able to edit those issues and risks.
2. - EDIT - In addition to viewing the Project Dashboard page, the user can edit all data fields. However, for projects where the user is named as 'Project Manager', the user also has additional rights:
  • Modify all Specification Priorities
  • Add/Edit/Delete all Issues
  • Add/Edit/Delete all Risks
  • Add/Edit/Delete all Key Components

3. - CONTROL - The user has complete control to view, edit, add and delete issues, risks, key components lists and notes for all users.

PROCESS Control
The PROCESS access rights control governs access to the PROCESS MANAGER page. Three options are provided to control access as follows:-

1. - NONE- The user has no access to the Process Manager page.
2. - VIEW - The user is allowed to view the Process Manager page.
3. - CONTROL - In addition to viewing the Process Manager page, the user can add, edit and delete processes.

LIBRARY Control
The LIBRARY access rights control governs access to the LIBRARY page. Three options are provided to control access as follows:-

1. - NONE- The user has no access to the Library page.
2. - VIEW - The user is allowed to view the Library page.
3. - CONTROL - In addition to viewing the Library page, the user can add, edit and delete Library items.
MANAGING USERS
Vizula Users can be managed both from the Access Rights page and also the HR Manager page (for those customers who have the HR Manager enabled).


Adding a User
1. Click on the 'Add Vizula User' icon and the 'Add New User' sub-menu will be displayed.



3. Add compulsory details for Name and Email and optional phone number and click 'ADD'.
4. The new user will be added as a Vizula user and also added to your list of employees, which will be visible in the HR Manager (if the HR Manager is enabled)

Deleting a Vizula User
1. Click on the 'Enable Delete Mode' icon. and it will change to indicating that 'Delete Mode' is enabled.
2. Icons will be displayed in the left hand column of the employee in the list as follows:-



  • A 'Delete' icon indicates that the user can be deleted.
  • A 'No Delete' icon indicates that the user has dependencies and cannot be deleted.

3. Click on a user that can be deleted and a confirmation sub-menu will be displayed.
4. Click 'DELETE' and the user will be deleted.

WARNING: Deleting a Vizula User will also delete the User as an Employee.
